Welcome to Rhodes Wedding Planner, part of the Medlife Group. These Terms and Conditions govern your use of our website and services, and form a legally binding agreement between you (the “Client”) and us (the “Company”). By using our site or booking any of our services, you agree to these terms in full.

1. Who We Are

Rhodes Wedding Planner is a wedding planning company based on the island of Rhodes, Greece. We plan weddings exclusively in Rhodes for UK couples looking to tie the knot abroad.

We are part of the Medlife Group registered in the UK, which also includes travel agency services.

2. Our Services

We offer:

  • Full wedding planning & coordination in Rhodes

  • Legal wedding administration & document guidance

  • Supplier sourcing (venues, florists, photographers etc.)

  • On-the-day event coordination

  • Optional extras such as excursions, boat parties & more

  • Travel and accommodation support via our company Medlife Holidays

All weddings are tailored to your preferences and managed from here in Rhodes with local knowledge, trusted suppliers, and real-time support.

3. Booking Process & Payments

3.1 Booking Confirmation

To secure your wedding date and begin the planning process, a non-refundable deposit is required. This deposit amount will be outlined in your package or personal quote.

3.2 Balance Payments

Full payment is required no later than 8 weeks prior to your wedding date, unless otherwise agreed in writing. If final payment is not received, we reserve the right to cancel services.

3.3 Currency & Method

Payments are accepted via bank transfer or card payment in GBP or EUR, depending on your preference. Any currency conversion or bank fees are the responsibility of the client.

4. Cancellations & Refunds

4.1 Cancellation by You

If you decide to cancel:

  • The initial deposit is non-refundable

  • Any further refunds depend on how close we are to your wedding date and which suppliers have already been booked

  • All cancellations must be submitted in writing

4.2 Cancellation by Us

We will only ever cancel your wedding in extreme circumstances (such as natural disasters, civil unrest, or failure of key suppliers). In this unlikely case, we will:

  • Offer a full refund of planning fees paid to us (not including supplier costs)

  • Or help you rebook or postpone, where feasible

5. Changes to Your Booking

You can request changes at any time (guest numbers, décor, timings etc.). We’ll do our best to accommodate these. Some changes may involve additional fees, which will always be clearly explained and agreed upon in writing.

6. Legal Weddings in Greece

6.1 Documentation

We provide full, up-to-date guidance on what legal paperwork is required for a legally recognised wedding in Greece. It is your responsibility to obtain, legalise, and submit these documents correctly and in good time. We are here to assist at every step.

6.2 Arrival in Rhodes

While there is no legal requirement to arrive a set number of days before the wedding, we strongly recommend arriving at least 3 days in advance to complete final preparations, lodge legal paperwork with the Town Hall, and meet with your planner.

7. Suppliers

We work with a trusted network of local venues and suppliers (photographers, florists, caterers, musicians, etc.) and book these on your behalf. While we coordinate all logistics and communication, the contracts with suppliers may be subject to their own terms and cancellation policies.

We’ll always ensure you're informed of these in advance.

8. Liability

We take great care in providing our services, but we cannot be held liable for:

  • Delays or issues caused by third-party suppliers

  • Any errors or delays in legal documents not caused by us

  • Disruptions caused by weather, strikes, travel delays, pandemics, or similar events

  • Personal injury, loss, or damage during your stay in Greece

Our total liability will never exceed the amount paid to us for planning services.

9. Insurance

It is highly recommended that all couples take out:

  • Wedding insurance (including cancellation, supplier failure, and legal cover)

  • Comprehensive travel insurance (covering flights, accommodation, baggage, and medical care)

We do not provide insurance and cannot be held responsible for losses that could have been covered by appropriate insurance.

10. Force Majeure

We are not liable for delays or failure to perform our obligations due to circumstances beyond our control, including but not limited to: extreme weather, fire, flood, natural disasters, pandemics, government restrictions, or airline disruption.

11. Intellectual Property

All images, text, logos, and materials on this website are the intellectual property of Rhodes Wedding Planner and may not be used or copied without our prior written permission.

12. Privacy & Data Protection

We collect and use your personal data strictly in accordance with our Privacy Policy, and always aim to protect your privacy and comply with GDPR regulations. Your data will only be shared with suppliers where necessary to deliver your wedding and always with care.

13. Disputes & Jurisdiction

These Terms & Conditions are governed by Greek law. Any disputes will fall under the jurisdiction of the courts of Rhodes, Greece.

14. Questions or Complaints

If you have a question or concern at any point, please reach out. We aim to resolve issues promptly and fairly.
